Cicero Preparatory Academy & Archway Classical Academy | Cicero

Archway Cicero and Cicero Prep will open in a NEW campus at Indian Bend and Pima (on the Salt-River Pima Maricopa Indian Reservation) to offer a complete K - 12 program. Archway Cicero will accept 2014-15 applications for grades K - 5. Cicero Prep will accept 2014-15 applications for grades 6 and 7. Applications received after Open Enrollment are not eligible to enter the Open Enrollment lottery in January, but instead will line up behind processed Open Enrollment applications.

September 30, 2013:
November Open Enrollment Period dates will be announced for all Great Hearts Academies. Announcement will be posted on our websites and sent to email interest lists.


October 15, 2013:
Waitlisted applicants that are eligible to rollover to the 2014-15 school year waitlist will be notified of their eligibility and rollover instructions. Eligible applications must be submitted before August 1, 2013, and must NOT be submitted for an Archway academy's "exit grade". An "exit grade" is the highest (graduating) grade level offered at an academy.


Oct. 28, 2013 - Nov. 8, 2013:
Waitlisted Application Roll Over Period; Waitlisted applicants that are eligible to rollover to the 2014-15 school year waitlist will be sent online rollover instructions on October 28th.


Nov. 18, 2013 - Dec. 6, 2013:
Open Enrollment Period for all grades at all Great Hearts Academies; Online application for 2014 - 2015 open.


Jan 23, 2014:
Lotteries will be conducted for applications received during Open Enrollment Period for the 2014 - 2015 school year.
Lotteries will take place at 10:30am at the main Great Hearts office (3102 N. 56th St., Suite 300, Phoenix, AZ). Lotteries are open to the public, but applicants are not required or expected to attend.


Jan 29, 2014:
Enrollment status based on lottery results will be posted for applications received during Open Enrollment Period for the 2014 - 2015 school year.


February 2014:
Registration Packets for accepted students are due to schools. Schools will provide specific instructions for submitted completed packets.


February 2014:
Re-Enrollment process begins for current students.

How to Apply Online:

New Application

The 2014-15 school year application is currently available online. You can access the Online Application for the 2014-2015 school year at http://apply.ghaenrollmentaz.org. This link is also available from the ADMISSIONS page of the Great Hearts Academies main page: www.greatheartsaz.org. Waitlisted applications submitted after August 1, 2013 will not roll over to the 2014-15 school year waitlist. 2014-15 applications will be available online starting on November 18, 2013.


Confirmation Emails:

You can expect to receive an email confirmation within 30 minutes after you submit your child’s application to one of our schools. The confirmation email is an important piece of information for you to keep on file. It holds vital information such as your child’s name and birthdate, parental contact emails and grade and schools for which the child’s application was submitted. The confirmation mail also indicates the date the application was submitted. Please be sure to save the confirmation emails you receive from Great Hearts.

Open Enrollment:

The 2014-15 Open Enrollment period is from November 18, 2013 - December 6, 2013. Beginning on November 18, 2013, you can submit an online application for the 2014-15 school year. Applications received after December 6, 2013, will not be eligible to enter the open enrollment lottery. Instead, these applications will be processed on a first-come, first-served basis behind applications received during the open enrollment period.


Open Enrollment Lottery

Our Open Enrollment period is NOT first-come, first served. If, for any grade level, the number of applicants exceeds the number of openings, there will be a lottery to determine enrollment and waitlist numbers. Only applications submitted during the OPEN ENROLLMENT PERIOD are included within that lottery pool. Lotteries will be held in January, and results will be available to view in mid-January (dates pending for both events).

How Our Waitlist Works:

When your application reaches the top of the list and a spot becomes available to you, the school will contact you immediately.

Predicting Waitlist Outcomes:

It is not possible for us to determine your child’s chances of being offered a spot. Once our classes are full, any spots that open up are the result of student withdrawals. Although we do typically see a number of spots open up before the start of school, we have no way of knowing in which grades spots will open up or how many spots will become available.

You may move up or down on the list. Don’t be too worried if you move down a few spots; this occasionally happens. For example, a 1st grade student is called from the waitlist because someone declined a spot. The 1st grader has a sibling who is #50 on the waitlist for 3rd grade. This sibling must (by law) be given “sibling preference,” so she moves up to the top of the 3rd grade waitlist (or near the top; there may be other siblings ahead of her). Therefore, if your 3rd grade child had started at #49, s/he will now be bumped down to #50.

Applications Eligible for Priority Status:

2014 – 15 Priority Status Order for Filling Seats:


The following types of applications are eligible for “Priority Status”, and in the following order:

1. -- Current student in same school

2. -- Archway graduate applying to entry level grade at designated recipient* Prep school

3. -- Teleos Prep graduates – 8th graders applying to any GH prep school for 9th grade

4. -- GH Faculty / Administrator child or grandchild (full-time, benefits-eligible)

5. - Applicants with siblings attending, or alumni siblings of, the same school or designated feeder/recipient* school

6. -- Board member child or grandchild

7. -- Transfer student – from one GH school to another

8. -- Confirmed rollover applicant from the previous school year

9. -- Non-prioritized Open Enrollment applicants (by original lottery number)

10. -- Non-prioritized Post Enrollment applicants (by date of application)



Please note: Any false statement on an application, including falsely indicating priority eligibility, may result in revocation of enrollment or offer of enrollment.


Archway Graduate to Prep Entry Grade Priority Policy:

Priority status is provided for Archway graduates applying to the entry level grade of their designated recipient* Great Hearts prep school.


1. Archway graduates that wish to enroll in the entry level grade at their designated recipient* school should apply during the Open Enrollment period for the upcoming school year.

2. These applicants should indicate on their application to the designated recipient school that they are currently attending a Great Hearts school, and should indicate the name of their current GH school.

3. These Archway Graduate applications will be marked for Archway Graduate priority status.

4. Once marked as an “Archway Graduate” application, these priority applications are ordered by original lottery number.

5. Priority status does not guarantee placement at the desired school


Teleos Prep Graduate Priority Policy:

Priority status is provided for Teleos Prep 8th grade graduates applying to 9th grade at any Great Hearts prep school.

1. Teleos Prep 8th grade graduates that wish to enroll in the 9thgrade at a Great Hearts prep school should apply during the Open Enrollment period for the upcoming school year.

2. These applicants should indicate on their application to the GH prep school that they are currently attending Teleos Prep.

3. These Teleos Graduate applications will be marked for Teleos Graduate priority status.

4. Once marked as a “Teleos Graduate” application, these priority applications are ordered by original lottery number.

5. Priority status does not guarantee placement at the desired school


Sibling Priority Policy:


Sibling priority only applies when the incoming applicant has a sibling that is officially enrolled, currently attending, or has graduated from, the same school or designated feeder / recipient school to which the applicant is applying.

1. A “sibling” is defined as an immediate family member of the applicant, or a blended family member of the applicant that resides under the same roof as the applicant.

2. The sibling must be currently enrolled at, or alumni of, the same school or designated feeder/recipient* school to which the applicant is applying.

3. The applicant can only receive priority status for the same school or designated feeder/recipient* school at which their sibling is currently enrolled or from which they have graduated.

4. If sibling withdraws from the school before applicant is offered enrollment, priority status will be revoked.

5. Once marked as a “sibling” application, these priority applications are ordered by original lottery number.

6. Priority status does not guarantee placement.


* (‘designated feeder/recipient schools’) are the GH affiliated schools under separate charters in which students completing the terminal grade at one school matriculate into the entry grade of the other. These schools are often co-located on the same campus (or at least in the same municipality) and share the same nomenclature (e.g. ‘Scottsdale Prep’ and ‘Archway Scottsdale’). It will be possible in the future for multiple K-5 Archway schools to be designated as feeder schools for a single 6-12 Prep school.


Great Hearts Faculty / Administrator Child Priority Policy:


Children of Full-time, benefits-eligible Great Hearts Lead Office and School Faculty and Administrators


1. The employee must be the parent or legal guardian of applicant or the applicant must live with the employee for at least 50% of the calendar year.

2. The eligible applicant will receive priority status at any school within the Great Hearts network.

3. The employee is responsible for notifying the school/s to which they apply of their submitted application and of their priority status eligibility.

4. If employment is terminated by employee or employer before applicant is offered enrollment at a Great Hearts school, priority status will be revoked.

5. Once marked as an “employee” application, these priority applications are ordered by original lottery number.

6. Priority status does not guarantee placement.


Children of Part-time, benefits-eligible Great Hearts Lead Office and School Faculty and Administrators


1. The employee must be the parent or legal guardian of applicant or the applicant must live with the employee for at least 50% of the calendar year.

2. The eligible applicant will receive priority status at any school within the Great Hearts network.

3. The employee is responsible for notifying the school/s to which they apply of their submitted application and of their priority status eligibility.

4. If employment is terminated by employee or employer before applicant is offered enrollment at a Great Hearts school, priority status will be revoked.

5. Once marked as a “faculty” application, these priority applications are ordered by original lottery number.

6. Priority status does not guarantee placement.

7. Priority status for part-time employees is only granted if their contract stipulates that the employee is benefits eligible.


Great Hearts Board Member Child Priority Policy:

Children of Great Hearts Board Members and Great Hearts School Board Members


1. The board member must be the parent or legal guardian of applicant or the applicant must live with the board member for at least 50% of the calendar year.

2. The board member must be an official, board-approved board member.

3. The eligible applicant will receive priority status at any school within the Great Hearts network.

4. The board member is responsible for notifying the school/s to which they apply of their submitted application and of their priority status eligibility.

5. If the board member’s service on the board ends before the applicant is offered enrollment at a Great Hearts school, priority status will be revoked.

6. Once marked as a “board” application, these priority applications are ordered by original lottery number.

7. Priority status does not guarantee placement.


Transfer Student Priority Policy:


1. Students requesting a transfer to another Great Hearts academy are required to finish out the year at their current GH school before transferring to their new school of choice.

2. Students requesting a transfer must:

a. Complete an online application for the next school year to their desired transfer school

b. Complete and submit a Transfer Request form to the Office Manager of their desired transfer school

3. Once the Transfer Request form is approved for the desired school, the application will be marked for transfer priority status for the upcoming school year

4. Once marked as a “transfer” application, these priority applications are ordered by original lottery number.

5. A student may only request a transfer to one specific Great Hearts academy. In the case of siblings, all Transfer Request forms submitted must be for the same school or feeder / recipient school as transfer requests submitted for all other siblings.

6. Priority status does not guarantee placement at the desired school.

7. Students requesting transfer must not be in the process of being expelled from their current school.


Completed Transfer Request forms may be submitted in person or via email to the Office Manager of the desired school.

(Please note that the following schools cannot grant transfer requests for the 2014-15 school year: Archway Glendale, Archway Mesa, Archway Cicero, Cicero Prep


Roll-Over Policy


If your child is not offered a spot for the 2013-14 school year, and if your waitlisted application is eligible to rollover to the next school year waitlist, the school will contact you before open enrollment to find out if you would like to roll the application over to the next school year’s waitlist. If you opt to do this, you will not have to reapply for the 2014-15 school year, and your application will move up the waitlist with other rollover applications and will be ahead of new, incoming, non-prioritized applications submitted for the 2014-15 school year. It is crucial that you do not miss the Roll-Over deadlines set by the school to ensure your child’s application is moved to the next year’s wait list.

Applications cannot roll over from one school to another. For example, waitlisted 5th grade applications for Archway Veritas cannot be rolled over to 6th grade at Veritas Prep. Furthermore, applications received after August 1, 2013 are NOT eligible to roll over onto the waitlist for the next school year.


What happens to my 2013-14 waitlisted application if I roll over to the 2014-15 school year waitlist?

If you choose to roll over your eligible waitlisted application/s to the 2014-15 school year waitlist, your 2013-14 waitlisted application/s will still remain active for the remainder of the current school year. However, if you receive an offer of enrollment for the current (2013-2014) school year after you elect to roll over your application, that application will be removed from the 2014-15 waitlist.


Accepting or Declining:

The following timeline outlines the projected dates for offers to be extended to children who submit applications for the 2014-2015 school year:


November 18 – December 6, 2013 : Open Enrollment Period at all of the Great Hearts Academies

Mid-January 2014 : Lottery held for all applications submitted during the Open Enrollment Period at all of the Great Hearts Academies.

End of January 2014 : Offers sent out to accepted students; waitlist numbers available to families not offers positions.


Initial Offer of Enrollment:

Every family will receive an email and/or a phone call from the school to which they applied if and when an offer is extended to their child. Please contact the main office of the specific school if you have any questions concerning the initial offer of enrollment.


If a family rejects or does not respond to an offer of enrollment, they are removed from the waitlist and must reapply if they wish to be considered again for enrollment in the current or future school years.


Enrollment Packet:

Completion of an online application or acceptance of an offer of enrollment does not constitute official enrollment. Offered applicants will receive an enrollment packet from the school directly to finalize their enrollment at the school. Parents must complete enrollment packet by the school’s packet deadline to be enrolled in the school. Failure to submit that enrollment packet by the school’s deadline will result in non-enrollment of the student.


Here is a list of documentation that you can start gathering in order to have it all ready when you receive your packet:


1. The child’s original birth certificate

2. Immunization records

3. Proof of Arizona residency (one item from the list below):

a. Valid Arizona driver’s license, Arizona identification card

b. Valid Arizona motor vehicle registration

c. Valid United States passport

d. Property deed

e. Mortgage documents

f. Property tax bill

g. Rental agreement or lease (including Section 8 agreement)

h. Utility bill (water, electric, gas, cable, phone)

i. Bank or credit card statement

j. W-2 wage statement

k. Payroll stub

l. Certificate of tribal enrollment or other identification issued by a recognized Indian tribe

m. Other documentation from a state, tribal, or federal agency (Social Security Administration, Veterans’ Administration, Arizona Department of Economic Security, etc.)

Admissions Standards:

Great Hearts Academies have no admissions standards, as we are publicly funded charter schools. However, students may be required to do summer school in order to meet high school graduation requirements.

Kindergarten Enrollment Policy:

We follow state guidelines which stipulate that a child must turn 5 before September 1st in the year in which they are enrolled for Kindergarten. Our Archway academies adhere to the state guidelines regarding the minimum age for Kindergarten, and exceptions are not made for early Kindergarten admittance. Also, we do not offer early entrance testing for Kindergarten.

Our standard Kindergarten offering is a ½ day program, which is funded in full by the State of Arizona and meets all state requirements. We also offer a tuition-based, extended day Kindergarten program, which allows us to provide a full day of instruction to Kindergarten students. Tuition for the extended day program varies by school. Please contact the schools directly for more information.

The best way to receive up-to-date information concerning current and future academies is to sign up for the "Interest Lists" through our web sites ( http://greatheartsaz.org/) and (http://greatheartstx.org). The interest list sign-up can be found on the lower left bar on the main page.

Joining the interest list does not constitute as an enrollment application, and does not place your child on a waitlist.

School Tours:

School tours must be scheduled through the office of the specific school you wish to see. You can do so through each school’s website, all of which can be found from the main Great Hearts website, www.greatheartsaz.org , and then by selecting the school you are interested in from the “Academies” tab on the top, blue bar. You may also contact the school directly to get further information on how they organize and schedule their tours.
